Executive Assistant (2), DePaul University

General Summary:
The Executive Assistant (2) will report directly to the Vice President for Public Relations and Communications. This individual will perform high-level administrative duties, work closely with a wide range of constituencies both internal and external, and support the Vice President and the professional operation of the unit. The Executive Assistant (2) will handle incoming calls, manage calendars, make travel arrangements, prepare meeting materials as required by the Vice President, maintain office files and records, work simultaneously on a wide variety of projects which may be administrative, investigative, and/or analytical in nature, and cover diverse topics, many of which are highly complex, time or politically sensitive, and confidential. The Executive Assistant (2) will demonstrate excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal managements and staff, as well as outside clients and constituents.

Principal Duties and Responsibilities:
  • Ensure the effective utilization of the Vice President's time, prioritize competing events or conflicting schedules, and handle details related to travel arrangements.
  • Ensure that the Vice President is properly prepared for meetings and events, both internal and external.
  • Exercise sound and independent judgment, perform special or confidential assignments, and bring information and issues related to the unit to the attention of the Vice President.
  • Oversee work flow, process, procedures, and communication for all work done in direct support of the Vice President.
  • Draft correspondence and communicate with a wide range of internal and external constituencies on the Vice President's behalf.
  • Write and/or edit reports, which include but are not limited to departmental, white papers, and PowerPoint presentations.
  • Serve as liaison and work with various University constituencies on special projects and issues.
  • Manage all logistics for meetings hosted by the Vice President, and manage special projects and activities that require a high-level of involvement by the Vice President.
  • Collect and document business purposes for all (PROCARD) expenditures and reimbursements to ensure that the Vice President will remain compliant with University policies.
  • Perform research using electronic, archival, and print media as directed.
  • Investigate, track, and respond to and follow up on inquiries, requests, concerns, and/or complaints directed to the office of the Vice President.
  • Perform other duties and responsibilities as required by the Vice President.
Requirements:
  • Minimum of 10 years experience supporting at the executive level in a dynamic, fast-paced environment.
  • Ability to work effectively with all levels of University staff including executive, administrative, and support. Ability to work effectively with alumni, students, and external constituencies, which include government officials and corporate representatives.
  • Maintain ongoing relationships with diverse groups representing varying interests and demands.
  • Proficiency in Microsoft Office Suite (Word, Excel, Access, PowerPoint, and Outlook).
  • Exceptional organizational skills and attention to detail.
  • Experience successfully creating and/or modifying processes.
  • Ability to prioritize and manage multiple projects simultaneously, and ability to follow through on issues in a timely manner.
  • Flexibility and ability to adapt to quickly changing situations.
  • Excellent written and verbal communication skills and problem-solving skills.
  • Strong interpersonal skills and the ability to interact effectively as a member or leader of a team.
  • Ability to manage multiple projects with strict and often conflicting deadlines.
  • Ability to work independently with little or no direction.
  • Ability to interact with a large and diverse group of individuals, including those with competing demands.
  • High degree of professional discretion and confidentiality.
Preferred Requirements
  • Bachelor's degree.
  • Knowledge of PeopleSoft systems.
